Frequently asked questions

What does a typical night look like?

Evening

  • 6:15  Registration
    Meet your group ranger, receive name badge and torch.  Find your sleep spot and set up  camp.

  • 6:45  Orientation
    Introduction to the evening by the Event Manager in the MunchBox area of Climbers+Creepers.
    Health & Safety chat with the Safety Steward.

  • 7:00  Ice breaker games
    Environmentally themed games led by a Group Facilitator. An opportunity for the children to get to know one another, and pick up some hints and tips for the activities later in the evening.

  • 7:30 until 10:30  Activities
    A variety of fun activities throughout the gardens. Horticultural competitions ‘behind the scenes’ in the Tropical Nursery, Scavenger Hunt in the Princess of Wales Conservatory,  Torch lit plant and animal hunt in the Arboretum, Photography and Bat Detecting.
    Between 8:00 and 8:30 there will be an opportunity to take a snack/WC break at Climbers+Creepers.

  • 10:15  Campfire
    Toasting marshmallows and entertainment around the campfire.

  • 11:20  Back to Climbers+Creepers
    Wash and brush teeth.
    Lights out.

  • 11:40  Bedtime story (optional)

Morning

  • 6:45  Wake up!

  • 7:00  Breakfast

  • 7:30  Awards ceremony
    Certificates and prizes for the best Ramblers, Botanists, Photographers, Horticulturists and Entomologists.

  • 8:00  Home time

What clothing, accessories and food should I bring?

Packing List

Keep it simple. Pillows, sleeping mats and anything that will add to your comfort are encouraged.

We will provide an evening snack and breakfast the following morning.  Should a child in your care have any special dietary requirements, or allergies, we would like to be informed so that we can arrange a suitable snack for them.

The evening snack will be between 8:00 and 8:30pm, so you may wish to eat a small meal before setting off from home.  You may also wish to bring some bottled water for some refreshment during the activities.

What are the hours of operation?

6.15pm – 8:00am.

Registration begins at 6.15 pm. Arriving promptly is the best way to prepare your group for the night ahead.  Following the morning awards ceremony, guests are invited to make their way to the designated exit.

Climbers+Creepers' doors close at 8.30 am to allow time to clean-up for the day's visitors.

How much sleep will I get?

No guarantees here, but lights will officially be out before midnight (there will be safety lights on throughout the evening).  Most guests are able to get a few hours sleep.

Pillows, sleeping mats and anything that will add to your comfort are encouraged.

Who may attend?

We encourage small groups of friends, families, parties and groups to join us who are interested in the natural world.

What size groups will be permitted?

The smallest group can consist of 1 adult and 4 children – we can be flexible for smaller parties, however we want as many children to enjoy this unique experience without diluting it with too many adults.

The largest group will have a total of 20 individuals with a ratio of 1 adult to every 4 or 5 children.
With only about 100 spaces available per night, we wouldn't want one group to dominate the evening.

Priority will be given to groups with the ratio of 1 adult to 4 or 5 children.

May I send my children without an adult?

No. For every 4-5 children, there must be an adult supervisor (or 'Group Helper') who agrees to be responsible for the group throughout the event. This person does not have to be a guardian or parent, but the parent /guardian must have authorized this person to look after their child for the evening.

What ages are you targeting?

The programme activities are geared towards 8-11 year olds.

May I bring children under 8?

Unfortunately, for legal reasons we cannot accept children under the age of 8

What if my child has special needs?

Please contact us with your concerns or questions, by e-mail, and we can ring you to discuss.

How much does it cost?

The cost is £40 per head – for both adults and children. This reflects Kew's costs in putting on the event and any profits made will go directly towards funding this and other education programmes at Kew.

How do I know my reservation has been accepted?

You will be sent a confirmation pack by post following receipt of your signed booking form and payment in full. Please allow up to a week for processing. You will also be notified if you are on the waiting list and your relative position on the waiting list. The website will be updated regularly with availability. If you do not have regular access to e-mail, please indicate this on the registration form and we will contact you via regular mail.

Please specify your preferred date of the event you wish to attend. If we do not receive your choice we will allocate the first available date for your party.

How do I make a reservation if I don't have the names and numbers of everyone confirmed?

A reservation can be made without all the names and numbers. However, full details of all the children participating must be sent to the event administration at least 2 weeks in advance of the event.

Will there be a waiting list?

Yes, spaces will be awarded on ‘first come first served basis’. You will be notified by e-mail if your name is within the top 5 groups for a given night, in order to prepare. Should you be notified about an opening by e-mail, you will have one week to confirm your acceptance in writing.

What is your cancellation policy?

Due to the large amount of people wishing to attend the Midnight Ramblers, and to avoid any unnecessary cancellations we have adopted a strict policy.  Refunds will be awarded under the following terms:

  • Over 60 days in advance full refund

  • Up to 60 days 75% refund

  • Up to 45 days 50% refund

  • 30 days or less no refund

To cancel, please state the name of your Group Helper, the date of your confirmed reservation, method of payment, and your e-mail address and e-mail sleepovers@kew.org.

If your child or members of your group become ill and can't make the sleepover within the 30 day notice period, we will give you priority on the next date of your choice, or waiting list, if that date is fully booked.

How do I travel to Kew, where is the nearest bus stop, tube connections, where may I park, etc ?

Please see 'How to Find Us', for bus routes and train links. Upon receipt of payment, we will send you a booking confirmation pack containing a detailed map about which gate will be open for entry on the night, and parking information.

Will I be able to get back to my car or leave the site at any time?

Not without difficulty. A staff member will have to escort you off the premises, as the gates will be closed, and the children will have to accompany you to the car. We would expect that you bring everything you need to registration to avoid such disruption.

Are there first aiders on staff in case of an emergency?

Yes, staff qualified as first aiders will be present all through the evening.
