12th meeting (document 1)

As agreed at the 11th EBHL meeting in Dublin in 2004, the 12th meeting will form part of the International Botanical Congress in Vienna, 17-23 July 2005.
There will be three EBHL 'activities':

1) A Symposium (i.e. a 2.5-hour parallel session) jointly organised with CBHL on the theme 'Biodiversity Informatics: Virtual access to global resources'. This will comprise a keynote presentation and six short papers, and will take place on FRIDAY 22 JULY, 13:30-16:00 (symposium no. 11-01 in Session 12). Accompanying the Symposium will be a large number of posters.

2) A Workshop organised by EBHL (to which CBHL members are of course warmly invited) which will offer opportunities for discussion of practical issues facing us all in improving services to our users. We have not yet been allocated a firm date and time for this, but are pressing for it to be on the same day as the Symposium.

3) An informal gathering on the evening of Friday 22 and some tours/visits on Saturday.

When we initially sent our proposals to IBC, we were in some doubt as to whether they would accept our ideas, whether we could find enough speakers, and whether anyone would come to listen! In the event, we have been overwhelmed with the level of interest. We received 39 proposals for papers/posters for the Symposium, and over 90 people have already indicated interest in the Workshop (out of about 650 people so far registered for the Congress). Interestingly, other Symposia have fared less well and IBC consequently extended the deadline for submissions. This has had a knock-on effect on the finalising of practical arrangements, which is of concern to us as we know that many EBHL members who would like to come could not afford either the time or the cost of attending the whole Congress. We have successfully pleaded for the introduction of a day registration rate, so that members who would like to join us just for the Friday can do so, but it is still possible that the Workshop may be assigned a different day because of accommodation problems. However, the organisers are doing their best to fit us in on Friday, and we will confirm the date as soon as possible.

There are therefore two options for registration:

1) Register for the whole Congress at http://www.ibc2005.ac.at/. The registration fee is 440 euro UNTIL 15 APRIL, after which it goes up to 540 euro. So do it now for the best rate! This is the best option if you can manage it, as you will then be sure not to miss anything.

2) Register for Friday 22 July only and attend the Symposium and the Workshop if it is on the same day. At present it is not possible to do this on the web site, and the cost has not been confirmed, but is likely to be around 200 euro. We will announce the registration procedure as soon as we know it!

Everyone is, of course, welcome to join us for the informal gatherings on Friday evening and Saturday.

Accommodation can be booked via the Congress official agent, Austropa Interconvention, on the web site UP TO 15 APRIL. If the hotels of your choice are fully booked, the agents will allocate an alternative. There is no indication yet of arrangements after 15 April, so you may need to contact hotels individually if you have not booked by then. It would be wise to book as soon as possible as hotels are very busy; unfortunately due to the heavy demand it has not been possible to make a block booking in one hotel for EBHL as we normally do. So if you want to be near colleagues, the best idea is to send details of where you are staying to the list as soon as you know, then those who have not yet booked can try the same place! IBC is taking place at the Vienna International Centre complex on the Danube a little outside the centre of Vienna, but very well served by public transport. The fastest route is by the 'red' underground line U1. The web site has a map of the underground showing location of hotels.

We will confirm the date of the Workshop and further details of the programme as soon as possible.

A note to those who have submitted proposals for papers or posters: Gordon McDaniel (of CBHL) and I, as joint organisers, have sent our recommendations on the submissions to IBC who will be announcing their final decisions and contacting authors 'within the next two weeks' according to the web site. Those 30+ who could not be fitted into the Symposium will be invited to present a poster, and we hope as many as possible will do so. Posters will be displayed throughout the week in two sessions, with a change-over on Wed. We hope, but do not yet know, that all our posters will be allocated the Thur-Sat slot. Presenters are asked to be present for the official poster presentation sessions at Wed lunchtime or Sat lunchtime - IBC will send details. We would also like to invite those poster presenters who are EBHL/CBHL members to participate in the Workshop, and will be contacting you separately about that when we know the time slot available (and therefore how much we can fit in!). If anyone whose proposed paper is thus 'moved' to the Workshop finds that this causes any difficulties with funding, please let us know and we will be happy to provide a letter explaining that the alternative is of equal importance (and indeed looks like attracting a larger audience!)
